Soha Housing Go Live on Aareon QL

In addition to providing quick and efficient housing and asset management functionality, Aareon QL will improve Soha’s Customer Relationship Management (CRM ) module, create a new self-service portal and support more advanced mobile working.

During the procurement process Soha tested solutions for usability, integration and against high expectations for delivering good value for money. Following a thorough review Soha made the decision to choose Aareon QL from Aareon UK.

The Soha Housing implementation project initially began in February 2016 with input from the IT department. In August 2016, a business wide dedicated implementation team, the Systems Revolution Team, was established to review business processes and configure the system to meet future business needs.

Aareon UK treat each implementation as a collaborative process. One of Aareon’s main project aims was to ensure that Soha felt supported throughout the implementation of the new Aareon QL solution. This is one of the reasons behind the Aareon Best Practice Implementation Methodology.

The key resources in any project are the people involved.  Aareon UK understand that a vital part of any project work is a clear and useable framework that defines and guides the participants, provides clear and unambiguous reporting lines, communication channels and escalation paths.  For Soha, having an experienced project manager, Steve Bromley, Director Bromley Consultancy services was essential in supporting the business wide implementation team and ensure the wider success of the project.

Director of Finance and Resources, Nasreen Hussain says, “Ultimately, IT is a vital element in managing the business and can be seen as one of the key factors of production.  So any new system had to meet tough criteria and the whole procurement process involved staff from across the organisation.  We felt that Aareon UK and the QL Housing Management Solution offered the best solution as it is a fully integrated system. Going forward we will be using QL for every possible business process.  This will allow us to provide an excellent, efficient and effective service for our customers.”

From the initial project kick-off, Aareon worked in partnership with the Soha Project Team.  Aareon allocated Soha a dedicated project manager who had previously worked in the social housing field and was responsible for managing resources, planning and delivering the project on time, within budget and to quality standards. 

As part of every Aareon implementation a dedicated project website is set up for both project teams to use as the main central facility for project management.  Meetings and key milestones are added, to-do lists can be created and allocated to team members and workshop notes and actions arising from all meeting are stored on the site. The project website is used on a daily basis as the main communication method as all emails can be sent, stored and tracked giving both teams complete transparency throughout the project.

As Soha celebrates its twentieth birthday this year, with a housing stock of over 6000 properties, the new system will help the organisation manage its growth for the future.
