Service Charges+
The preparation of the Service Charges calculations and billing is traditionally a time consuming one. We have recognised the challenges faced by housing providers in managing the services charges process and have come up with a solution.
Preparing budgets, creating charges, apportioning them correctly while juggling complex property structures and multiple lease types, and maintaining transparency and providing accurate statements and billing are all important elements of the overall process. This can tie up staff time for weeks every year and when done using spreadsheets, you have the additional headache of a lack of auditability.
Aareon have recognised the challenges faced by Providers in managing the service charge process and have come up with a solution – the QL Service Charges+ module.
The Service Charges+ module enables you to set up groupings of properties, to create hierarchical apportionment structures [known as blocks], and to then apportion different values [which may be from a budget or an actual value] using these configurable rules.
A ‘what if’ facility enables you to perform dry runs before you commit the calculation and create the charges, which are then automatically added to the relevant accounts from the specified start date.
Once created charges will then be raised by the debit run process, at a user defined frequency. Full control over the lease is available through the standard accounting features that exist within Aareon QL, including arrears management and letter/statement production.
QL Service Charges+ offers the following powerful features:
- Configurable for multiple groups of properties and multiple lease types.
- Integration with QL Financials or any third-party Financials system to import data.
- Statements can be generated using the reporting tools.
- Arrears chasing can be used on debts.
- Letters can be generated from the system.
- Able to manage both budgets and actuals for setting charges against, with a feature to enable automated adjustments at year end once actuals are known.
